Why bookings slip between desks
In most real estate offices a booking is not one record. The sales team writes it in a register, accounts keeps its own receipt sheet, the agreement desk retypes the customer details into a Word template and the associate hears about progress on WhatsApp. When a customer calls to ask where their file is, someone has to walk from desk to desk to find out.
That is how a unit gets quoted after it was booked, a token sits unverified for a week, or an agreement goes out with the wrong area. These are not people problems. They happen because the booking lives in five places at once.
One booking record, from token to registry
Estatrail treats the booking as the single source of truth. The scheme manager books the plot or flat with the customer, the associate, the payment type and the token amount. From that moment the unit shows as booked in the inventory, so nobody else can quote it, and the file moves to accounts.
Each desk then picks up the same record, in order:
- Accounts verify the token and booking amount before the file moves on.
- The Agreement Maker drafts the agreement to sell from the booking data, so party, unit, area and value are never retyped.
- The customer signs, the Authorized Signatory countersigns and KYC is approved.
- The allotment letter is uploaded, verified and signed.
- Patta filing and the bank's DD for loan cases are tracked on the same booking.
- Once dues are cleared and the docket is ready, the registry is booked and the file closes.
Every step records who did it and when, and the full history stays in the audit log after the file is closed.
Flat booking software that works for plots too
Estatrail handles plotted layouts as well as towers and apartments. Each project keeps its own inventory, price list and payment plans, so a flat booking in a tower and a plot booking in a township follow the same workflow with the right numbers. Developers running several schemes manage them in one account, and management sees every project in one dashboard.
See where every file is waiting
Because each desk works in sequence on one record, Estatrail can show what a register never could: how many files are open at each desk and how long the oldest one has been there. If the agreement desk has nine files and the oldest is twelve days old, the director sees it in the morning, not at month-end.
Associates see the same status on their phone. Instead of calling the office to ask whether a customer's agreement is ready, they open the party in the associate app and see which desk has the booking and for how long.
Roles and control
Estatrail supports 11 roles across sales, accounts, legal and management. Each person sees the part of the booking they are responsible for. Role-based access and an activity history on every record mean that a changed booking amount or a reassigned associate can always be traced to a person and a time.
Plans and getting started
Bookings and payment tracking are part of every plan, starting at ₹4,999 a month. The full multi-desk workflow with 11 roles, agreements, KYC and allotment comes with the Growth plan. Every plan has a 14-day free trial, and you can compare them on the pricing page.
The quickest way to judge whether the workflow fits your office is a free demo with your own project. We load a few units and walk a booking from token to allotment with your team.
Frequently asked questions
What is real estate booking management software?
It is software that records each booking against a specific unit and moves it through the steps after the sale: payment verification, agreement, KYC, allotment and registry. Estatrail does this on one record per unit, so every desk works from the same data.
Can Estatrail manage flat bookings in towers as well as plots?
Yes, Estatrail manages towers and apartments as well as plotted layouts. Each project keeps its own inventory, price list and payment plans.
How does Estatrail stop the same unit being sold twice?
A unit shows as on hold or booked as soon as it is held or booked, and that status is live for the office and for associates in the field. Associates can hold a unit from the site without calling the office.
Is there an audit trail for changes to a booking?
Yes. Every change is saved in the audit log with the person and the time, and the director and super admin can review it.
