Where builder collections go wrong
Collections are where a real estate business makes or loses its month, and they are usually tracked in the least reliable way. A receipt is entered in one spreadsheet, the payment plan lives in another, and the person who knows which customer promised to pay on Friday is the associate who sold the unit. When that person is on leave, the follow-up stops.
Builders also need to know more than the total collected. They need to know what is due this month, which accounts are overdue, which payments are still waiting for verification and which bookings are on a bank loan, so the DD can be chased.
Every payment on the booking it belongs to
In Estatrail the token and booking amount are recorded against the booking when the unit is sold. The installment schedule is built from the project's payment plan, so the dues for each customer are known from day one. When a payment arrives by UPI, cheque or bank transfer, it is matched to the booking.
No payment counts until it is checked. The Accounts Head verifies the mode, reference and amount, and only then does the receipt show as verified. This keeps the collected figure honest and stops a booking moving to the agreement desk on a token that never cleared.
Demand letter software built on your payment plan
Because the schedule comes from the payment plan, Estatrail generates demand letters from the booking data when an installment falls due. The customer's name, unit, amount and due date come from the record, so nobody types them again and the letter always matches the ledger.
Reminders go to the party and to the associate before dues fall due, and overdue accounts are flagged so accounts can follow up before month-end rather than after it.
Bank loans and refunds, tracked separately
Real estate payments are rarely just a customer paying in installments. Estatrail keeps the other cases on the same booking:
- Loan and self-funded bookings are tracked apart, so you can see how much of your sales depend on bank disbursements.
- Bank loans are followed from sanction to DD.
- Refunds are requested, approved and paid on record, with an approval trail for each one.
Collections across every project
Management sees collected, outstanding, awaiting verification and refunds live across every scheme, along with verified receipts by month and how much of the agreement value on active bookings has already come in. Booking, payment and closing registers export to CSV for your accountant or your own reports.
Every verification, refund approval and change to a payment is saved in the audit log with the person and the time, so a question about a receipt months later has a clear answer.
Try it with your own payment plan
Bookings and payment tracking are included from the Starter plan at ₹4,999 a month, and every plan has a 14-day free trial. See pricing for what each plan includes. In a free demo we load one of your payment plans and show how dues, receipts and demand letters work for a real booking.
