CRM, ERP and the gap in between
Real estate software is usually sold in two kinds. A real estate CRM captures leads from portals and ads, assigns them to the sales team and tracks follow-ups and site visits until the customer decides to buy. A real estate ERP is a much larger system that covers accounting, procurement, construction and often HR across the whole company.
For many builders and property dealers, neither fits the part of the business that causes the most trouble: everything that happens after the customer says yes.
| Topic | Typical real estate CRM | Estatrail |
|---|---|---|
| Main job | Capture and follow up leads until the sale | Run the sale from lead to handover, with the booking at the centre |
| Inventory | Often a simple list, if there is one | Live unit status per project, with holds from the site |
| After the booking | Usually ends when the deal is marked won | Accounts verification, agreement, KYC, allotment, patta, DD and registry |
| Payments | Usually tracked outside the CRM | Token, installments, verified receipts, reminders and refunds on the booking |
| Documents | Uploaded as attachments | Agreements, allotment letters and demand letters generated from booking data |
| Who uses it | Mainly the sales team | 11 roles across sales, accounts, legal and management |
Where a real estate CRM stops
In most CRMs a deal ends when it is marked won. In real estate, that is where the work begins. The token must be verified, the agreement drafted and signed, KYC approved, the allotment letter issued, patta filed, the bank's DD collected for loan cases, dues cleared and the registry booked. Each step involves a different desk, and a CRM built for the sales team has no place for accounts, the agreement desk or the government coordinator.
So the sale moves back into spreadsheets and WhatsApp, and the CRM shows a pipeline full of won deals while nobody can say which files are stuck.
Why not a full ERP?
An ERP can cover these steps, but it usually comes with a long implementation, consultants and modules a sales-led business does not need. For a dealer or a mid-sized developer, the cost and the time to go live can outweigh the benefit, and the sales team often finds the system too heavy to use in the field.
Where Estatrail fits
Estatrail is a real estate sales and operations platform. It covers the journey from lead and site visit to booking, KYC, agreement, payments, allotment, registry and handover, on one record per unit:
- Live inventory for plots, towers and apartments across projects.
- A multi-desk workflow with 11 roles, each with its own view of the booking.
- Payments verified by accounts, with installment schedules, reminders, bank loans and refunds.
- Agreements, allotment letters and demand letters generated from booking data.
- An associate app for the field team, with live availability, holds and booking status.
- An audit log of every change.
It gives you the post-sale workflow you would otherwise look to an ERP for, without the parts of an ERP a sales team would never use.
Choosing between a CRM, an ERP and Estatrail
- Choose a CRM if your main problem is lead volume and follow-up, and what happens after the sale is simple.
- Choose an ERP if you need company-wide accounting, procurement and construction management in one system.
- Choose Estatrail if your bookings pass through several desks after the sale, you sell through associates or channel partners, and you need to know where every file and every rupee is.
Estatrail starts at ₹4,999 a month with a 14-day free trial, and the multi-desk workflow and associate app come with the Growth plan. See pricing, or book a free demo to walk a booking from token to registry with your own project.
Frequently asked questions
Is Estatrail a CRM or an ERP?
Neither exactly. Estatrail is a real estate sales and operations platform: it covers leads and site visits like a CRM, then runs the booking, payments, documents and every desk after the sale.
How is Estatrail different from a CRM?
A CRM stops at the lead, while Estatrail runs the whole sale after the lead too. Inventory, booking, payments, documents and every desk handoff live on one record per unit, with role-based access and an audit log.
Can Estatrail replace our CRM?
Estatrail covers the journey from lead and site visit onward. Whether it replaces your CRM depends on how much lead marketing you run, and a demo with your own process is the best way to check.
