Documents are where bookings stall
After the token, a booking turns into paperwork: KYC documents, the agreement to sell, signatures, the allotment letter, patta filing and, for loan cases, the bank's DD. Each step belongs to a different person, and each handoff is a place where a file can sit unnoticed. Customers feel it as silence, and builders feel it as revenue that cannot be closed.
Retyping makes it worse. When the agreement is typed from a booking form, the customer's name, the unit number, the area or the value can go wrong, and a wrong agreement costs more time than a late one.
Customer KYC on the booking
In Estatrail the customer's KYC belongs to the booking. The KYC Executive reviews and approves it on the same record that holds the unit, the payment schedule and the agreement, so nobody has to search a shared drive for a PAN card. Associates see the customer's contact, KYC and booking history on one screen in the associate app.
Agreements drafted from booking data
The agreement to sell is drafted from the booking, with party, unit, area, value and payment type filled in. The Agreement Maker reviews it, the customer signs and the Authorized Signatory countersigns. Estatrail records the days the file spent at every desk, so a delay is visible and has an owner.

Documents move through the desks in order, and each desk sees only its own queue:
- The Agreement Maker drafts the agreement to sell.
- The Authorized Signatory countersigns after the customer signs.
- The KYC Executive approves the customer's KYC.
- The allotment letter is uploaded, verified and signed.
- The Govt. Coordinator tracks patta filing with the authority.
- The DD Executive follows the bank's DD for loan cases.
- Once dues are cleared and the docket is ready, the registry is booked and the file closes.
Every action is saved in the audit log with who did it and when.
What management sees
The director sees the number of open files at each desk and the age of the oldest, so a growing queue at the agreement desk or with the government coordinator is obvious early. Because the trail is complete, it also answers a customer's or a lawyer's question about when a document was signed or issued without digging through email.
Customer data is stored on cloud servers in India, and access is controlled by role, so KYC documents are only visible to the people who need them.
