Why property businesses start with Excel
Excel is familiar, flexible and already paid for. A dealer selling one layout can list plots in rows, colour the booked ones red and add a column for the token. For a small team in one office, that works.
The trouble starts as the business grows: a second project, a few channel partners, an accountant who needs receipts, a director who wants a monthly collections number. The sheet that was a list becomes the system the whole business runs on, without any of the things a system needs.
| Topic | Excel | Estatrail |
|---|---|---|
| Inventory status | Updated by hand by one person; copies go stale | Live for the office and associates, and changes when a unit is held, booked or closed |
| Double bookings | Avoided only if everyone checks the latest copy | Held and booked units show as unavailable to everyone at once |
| Payments | Receipts typed into a sheet, with no verification step | Each payment matched to the booking and verified by accounts |
| Agreements and letters | Typed from the sheet into templates | Generated from booking data |
| Desk handoffs | WhatsApp messages and phone calls | Each desk picks up the same record in order, with time on desk recorded |
| Access control | The whole file is shared, or nothing is | 11 roles, each with the right view |
| History | Overwritten cells and no record of who changed what | Audit log of every change |
| Cost | Included with Microsoft Office | From ₹4,999 a month, with a 14-day free trial |
Where spreadsheets break for real estate sales
- No single version. The sales sheet, the accounts sheet and the copy on someone's laptop disagree, and nobody knows which is right.
- No workflow. A spreadsheet does not know that the agreement desk is waiting for accounts to verify a token, so handoffs move to WhatsApp and files sit unnoticed.
- No control. Anyone with the file can change a booking amount, and there is no record of who did it.
- No field access. Associates cannot see live availability, so they call the office or quote a unit that is already gone.
- No documents. Agreements, allotment letters and demand letters are typed again from the sheet, with the errors that come with retyping.
What changes with Estatrail
Estatrail keeps one record per unit. Inventory, booking, payments and documents belong to that record, and every desk, from sales and accounts to the agreement desk and management, works from it in order. A booking moves from token verification to agreement, KYC, allotment and registry with a timestamp at every step, and the director can see how many files are waiting at each desk.
Associates see live availability and booking status in the associate app and can hold a unit from the site. Accounts verify every payment before it counts. Agreements and letters are generated from booking data, and every change is saved in the audit log.
When Excel is still enough
If you sell a handful of units a year from one office and one person handles sales, payments and paperwork, a well-kept spreadsheet may be all you need. A platform starts to pay for itself when more than one person touches a booking, when you sell through associates, or when collections across projects matter more than a single list.

Frequently asked questions
How is Estatrail different from Excel?
Excel has no workflow, while Estatrail runs the whole sale. Inventory, booking, payments, documents and every desk handoff live on one record per unit, with role-based access and an audit log.
Can we keep using Excel alongside Estatrail?
Yes. Booking, payment and closing registers export to CSV, so your accountant and your own reports can still use spreadsheets while the live work happens in Estatrail.
Do you help move our data from spreadsheets?
Yes. We help load your inventory, price lists and team when you start, and the Enterprise plan includes data migration from your sheets.
